Registration for exhibitors and sponsors

All sponsors and exhibitors must register via the dedicated Sponsors & Exhibitors Online Form.

Registration for AIEC 2024 will open in May. 

Who must register?

All exhibitors and/or sponsors who intend to physically attend any AIEC 2024 programmed event, such as programmed sessions, exhibition or social functions, must register through the Sponsors and Exhibitors online form to attend the conference. 

The term ‘Sponsor’ includes any person, firm, company or corporation and its employees and agents identified in the booking form or other written request for a sponsorship item.

The term ‘Exhibitor’ includes any person, firm, company or corporation and its employees and agents identified on the application form or other written request for exhibition space.

By when should you register?

All inclusive registrations in an exhibition/sponsorship package or pre-purchased as part of a package must be used by Friday 13 September 2024. After this date, we cannot guarantee social events will be available (even for inclusive registrations or pre-purchased group registrations).

Online registration will fully close on Wednesday 16 October 2024. Unused registrations included in your package or pre-purchased group registrations will no longer be valid after this date.

Purchasing additional registrations as an individual delegate

Exhibitors and sponsors are entitled to register more staff at the discounted exhibitor/sponsor registration rate. Additional registrations can be purchased at the exhibitor rate (standard or early bird), by registering via the online delegate registration form.

There is no limit on how many registrations you can purchase (in addition to those registrations already included in your sponsorship or exhibition package). However, registrants must be from your organisation (i.e. you cannot purchase registrations at the exhibitor rate for a client, stakeholder or friend).

Individual registrations can be purchased at any time via the online registration form before Wednesday 16 October 2024, but early bird rates only apply until Friday 13 September. Also, please note that social events may be oversubscribed closer to the conference date and may no longer be available.

Cancellation policy for exhibitor registrations purchased individually

When you register and purchase an ‘individual’ registration at the exhibitor rate, the same cancellation and refund policies as other delegate registration types apply.

You are entitled to a refund if the cancellation is received on or before Friday 20 September 2024. However, you will incur a $170 administrative fee. This fee also covers cancellation of any other pre-Conference events or non-inclusive social event tickets that are also cancelled at this time.

Alternatively, you have the option of transferring your registration at any time to another person within your organisation.

Pre-purchasing five or more registrations as a group package

It’s possible that you may not know in advance who from your organisation will be attending AIEC. For this reason, we offer exhibitors and sponsors the opportunity to pre-purchase five or more registrations in advance, to secure the early bird rate (i.e. a saving of $330 per registration) if purchased before Friday 13 September.

How does this work?

Contact the conference organiser if you want to purchase additional registration as a group.

You can lock in the early bird registration rate, but your staff don’t have to register until closer to the conference.

The individual registration rate is $1,355 incl GST for the early bird rate, but the conference organiser will issue one invoice for the total amount.

Cancellation policy for registrations pre-purchased as a group

No refund will be made for unused registrations in a group registration package. If someone in your organisation has registered using one of the registrations in the package, they will not be entitled to a refund. However, they may transfer the registration to another person within your organisation.

Registration inclusions

The exhibitor/sponsor registrations are 'all inclusive', so exhibitors and sponsors enjoy the same entitlements as other delegates, including:

  • Access to all sessions, including plenaries and concurrent sessions
  • Access to the Exhibition Hall
  • Access to all social events
  • Access to view content on demand
  • Opportunity to purchase tickets to pre-conference sessions 

Registration instructions

Exhibitors must all register via the Sponsor/Exhibitor Registration Form.

Through this form you are able to:

  • Register using the included passes in your package
  • Register using registrations pre-purchased as part of a group registration package
  • Purchase additional passes and social event tickets on the spot 

Registrations included in your package

You may have conference passes included as part of your package. Please refer to your confirmation email to see how many are included in your sponsorship package.

The conference organisers will email the nominated Primary Contact a unique promo code you will need to pass on to person(s) who will be taking up the inclusive passes.

Please pass on this link and registration instructions to the person who will be taking up the inclusive passes.

Please note unused registrations that are a part of a sponsorship or exhibition package will not be reimbursed.

Registrations pre-purchased as part of a group registration package

Your organisation may have pre-purchased additional registrations as a group package.

The conference organisers will email the nominated Primary Contact a unique link you will need to pass on to person(s) who will be taking up the inclusive passes.

Please pass this link and registration instructions to the person who will be taking up the inclusive passes.

Please note unused registrations pre-purchased as a part of a group registration package will not be reimbursed.

Purchasing additional registrations on the spot

As an exhibitor or sponsor organisation (regardless of your package) staff from your organisation are entitled to register at the discounted sponsor/exhibitor registration fee.

There is no limit on how many people from your organisation can register at this rate, but:

  • registrants must be from your organisation (you cannot purchase tickets for someone in a different organisation)
  • early bird rates apply

Accommodation

You will be able to book accommodation at discounted rates via the AIEC Ozaccom+ accommodation booking form until Friday 20 September. Rooms and rates are subject to availability and may be booked out prior to the conference dates.

Accommodation bookings are not available through the online registration form.

If you are making your own arrangements, please ensure you book early, as September is a busy time in Melbourne.
