Technical support
Our technical support team (Gliding Wings Production) will provide audiovisual assistance throughout the conference.
Our technical support team will be happy to check your PowerPoint presentation or answer any technical questions you may have about the audiovisual and equipment support at the conference.
Please email them in advance to evan@glidingwingsproductions.com.au from Gliding Wings Production or visit the Speakers' Preparation Room while at the conference.
The Speakers' Preparation Room will be equipped with computers where you can make final adjustments to your PowerPoint presentations and double-check that all the videos and sound files are working correctly.
When to submit/upload your files
In Advance:
Submit your presentation files in advance before the conference by Friday 18 October 2024 at 5pm AEDT.
Please submit your files via the link: https://form.jotform.com/242462992769877
Please follow the below steps:
- save your presentation file in the following format (Yourname_sessionroom_date_time)
- date – ddmmyy, time – 24-hour clock
- e.g. johndoe_riverbank6_231024_1315
- ensure you are sending the FINAL version of your presentation
- bring a back-up copy with you on the day
In Person:
Submit your files in person at the conference between 22 and 25 October.
Hand your presentation directly to the technical support staff in the Speakers' Preparation Room.
The Speakers’ Preparation Room can be very busy during peak times of the day, especially on Wednesday (the first day of the conference).
We recommend visiting the Speakers’ Preparation Room the day prior to your presentation or at the latest, at least two hours prior to your session start time. For example, if you’re presenting on Wednesday morning, please make your way to the Speakers’ Room as early as possible on Wednesday or from 1.00pm on Tuesday.
This will greatly assist our technical support team in ensuring all last-minute changes are properly checked in time for your presentation.
On-demand recordings
A small selection of sessions will be recorded and available on demand after the conference.
The decision about which sessions are recorded will be made by the Program Committee.

Media files
Laptops supplied by the convention centre are all windows PCs that use Microsoft Office 2016. Please note that no Mac books are supplied onsite.
The equipment supplied allows you to play audio and video media files. Note that DVD players will not be available in the session rooms. If you have a video file, please ensure you visit the Speakers’ Preparation Room and advise our technical support team of your requirements.
Video clips are recommended to be in an MP4 format as this will be playable in PowerPoint.
If your presentation was created on a Mac using the Keynote application, please save your file as a PPT or PPTX (PowerPoint format), so we can play it on a PC.
If you have a custom font, please bring the files with you on a USB to give to our technical support team in the Speakers’ Room. They will assist in correctly formatting your PowerPoint.
Internet and Wi-Fi
Venue wi-fi is only suitable for short video clips. If you require an internet connection for Internet browsing or showing longer videos, please visit the Speakers’ Room and inform the staff of your requirements.
YouTube videos
We recommended that you embed videos in the presentation. Therefore, YouTube videos must be downloaded and embedded into your PowerPoint. Our technical support team in the Speakers’ Room can help you with this.
Please do not just have a link to YouTube in your PowerPoint presentation, as we cannot guarantee this will work.
PowerPoint
All venue rooms are equipped with 16:9 aspect ratio (widescreen) data projectors, projection screens, plasma displays and LCD preview monitors.
We have prepared an AIEC PowerPoint presentation template you can use for your presentation. This template will be set at the 16:9 widescreen aspect ratio.
This template is optional, and you may prefer to use your organisation's branded template.

All slides must be submitted to our conference organisers. Our technical support team will be happy to check your PowerPoint presentation if you have any concerns or queries so we can prepare it for you and avoid last minute rushing.
Please email your presentation no later than Friday 18 October 2024 by 5pm AEDT via Jotform.
To ensure your PowerPoint presentation fills the entire screen (16:9), please alter the page setup using this guide.
AV equipment in the session rooms
Standard AV equipment in session rooms will include:
- lectern and microphone
- data projector
- projection screen/plasma display
- laptop
- preview monitor (you will be able to see your slides in front of you while presenting from lectern)
- wireless presenter (clicker)
- additional microphones (handheld, lapel or cordless)
