Bump-in and bump-out schedule

The AIEC 2026 exhibition will be held in Gallery Hall (level 2) at the International Convention Centre Sydney (ICC Sydney). 

Please note the schedule is subject to change. The final bump‑in and bump‑out will be confirmed and communicated to exhibitors prior to the conference. Please see conference schedules here for reference. 

All time indications are presented in Australian Eastern Standard Time (AEST).

Exhibitors must adhere to the access time provided. Access into the exhibition space prior to the scheduled time will not be permitted. 

NOTEAll exhibitor deliveries must arrive no earlier than Monday 26 October. 

IMPORTANT It is mandatory for all exhibitors during bump in/out periods to wear approved high visibility safety vests and closed toe shoes, this includes the loading dock or on the service road. Exhibitors and contractors will not be allowed entry to the exhibition floor unless safety vests and closed toe shoes are worn.  

Loading dock access

All deliveries are to be directed to the Convention Centre ground level loading dock and must book delivery slot with ICC Sydney.

The height of the loading dock is 3.9m. Vehicles are not authorised to park in the loading dock areas during bump-in or bump-out. However, vehicles may remain in the area for unpacking/ packing only. Parking at any time is strictly prohibited. Vehicles and their contents are the responsibility of the owner.  

We highly recommend booking freight storage and stock delivery to your stand directly through our preferred freight forwarder. Further details can be found in the Freight Forwarding/Delivered/Collections section.  

Exhibitors must ensure they have sufficient staff on hand to safely and promptly unload vehicles at the loading dock. 

Onsite materials handling/porters and equipment

We have an onsite porter service provider only during exhibitor bump-in and bump-out. If you need assistance moving boxes (non-heavy items) from the loading dock, please contact the organiser for further enquiries. 

Exhibitors requiring any manual handling equipment (i.e. forklifts) service during bump-in or out, must pre-book this service in advance through Expo Freight. Charges apply. Please contact Expo Freight directly. Their contact details can also be found in the Key Contacts Section

Self-freight/delivery

If you are bringing in materials via front of house (main entrance points of the venue), you can either carry these items or use trolleys as shown below.  Any trolley that is larger than those outlined below should come through the loading dock.

Storage facilities

There will be no onsite storage facilities available in the exhibition hall or loading dock for any materials, including boxes, packing materials, or other exhibitor items. It is recommended that exhibitors plan their storage needs in advance, including packing crates and freight forwarding materials and arrange for them to be cleared offsite.  

Exhibitors must not leave boxes and packing material in the exhibition display area during the show.  

Exhibitor parking

The loading docks are NO PARKING zones. Exhibitors can access the loading dock for a maximum of 15 minutes to drop off their goods; however, the driver must stay with the vehicle. Once deliveries are unloaded, the vehicle has to leave the loading dock and park at the ICC Sydney carparks. Please note that parking fees apply.
