Speakers’ Preparation Room

$6,600 inclusive of goods and services tax (GST) 

Position your brand in front of over 200 industry leaders and key decision-makers by sponsoring the Speakers’ Preparation Room. This dedicated space allows speakers to prepare their presentations and collaborate with the AV team before taking the stage. 

As a quiet and focused environment, sponsor representatives are not required to be present in the room. Branding should be subtle and professional, aligning with the space’s purpose. To enhance your branding exposure at this space, the sponsor can provide branded stationery and other items for delegate use. 

Space

  • Dedicated room in a location (location determined by organiser)
  • Seating, tables and AV support provided by the organiser
  • Sponsor logo on signage in the Speakers’ Preparation Room, co-branded with AIEC
  • Opportunity to provide signage/branded item in the lounge (items provided by the sponsor)
  • Speakers’ Preparation Room location on conference floor plan 

At the conference

  • Logo in the online program
  • Sponsor acknowledgement at the pre-conference speaker briefing info session 

Attendee lists

  • List of consenting delegates (name, organisation, country) provided 4 weeks before the conference. Please refer to our Privacy Policy for details.

Marketing and promotion

  • Acknowledgement through AIEC social media
  • Speakers’ Preparation Room promotion via AIEC EDMs, delegate emails, info webinars and other content
  • Sponsor acknowledgement in Speaker Info Session, speaker emails and notifications about the Speakers' Preparation Room 

Website, app

  • Logo and link on AIEC website 'Our sponsors' page
  • Logo and link on AIEC website ‘What’s On’ page
  • Profile and listing on the conference app with logo, bio, resources, and contact details
  • Acknowledgement as Speakers’ Preparation Room Sponsor on your conference app profile
  • Promotion of one giveaway offer on the app (offer provided by sponsor) 

Registration

  • 1 full conference registration (including access to sessions, exhibition, and all social events)
  • Option to purchase additional conference registrations at exhibitor rate 

How to apply

Please submit your application via our Cvent online application form. There is no payment required at this stage.

Apply to sponsor at AIEC 2026

Once your application is submitted, you will receive an automatic email acknowledging receipt of your application. Please contact us if you do not receive this email within 24 hours.

Your application will be reviewed by the AIEC Organising Committee, and you will be notified via email if your application has been accepted or declined.

Responses may take up to 10 working days, due to the popularity of some of the packages.
