A professional headshot is essential for any profession! Sponsoring the Photo Studio is a fantastic opportunity to help delegates update their photos while at the conference. This popular spot on the exhibition floor will attract a lot of attention, giving you direct access to delegates and providing them with a valuable service. 

The package includes a photographer, along with hair and make-up services at no extra cost. Your booth can be positioned next to the Photo Studio, ensuring high brand visibility and maximum exposure. The exact location of the Photo Studio will be determined by the event organisers, but it will be placed in a high-traffic area for maximum impact.

We kindly ask sponsors to support sustainability efforts by using sustainable materials for all supplied items at the conference.

Entitlements/inclusions

Space

• A dedicated exhibition floor space for the Photo Studio in a location determined by the organiser
• Furniture and power supplied for hair and make-up artist and photographer's use
• Photographer with lighting and backdrop and a hair and make-up artist supplied by organiser for the duration of the conference
• Sponsor’s logo/branding on signage in the Photo Studio (artwork provided by sponsor)
• Opportunity to brand the back wall (at sponsor's cost and subject to availability)
• Opportunity to display signage/ branded item at the Photo Studio (items provided by the sponsor and subject to AIEC approval)

Attendee lists

• Attendee list (including all consenting delegates) provided to the sponsor four (4) weeks in advance of the conference (name, last name, organisation, country). Please refer to our Privacy Policy for details. 

Emails, social media, and campaigns

• Engagement with the sponsors/exhibitors through social media 

Website and app

• Logo and hyperlink on ‘Our Sponsors’ page on the AIEC website
• Logo and hyperlink on ‘What’s On’ page on the AIEC website
• Profile on the conference app – This includes the opportunity to upload your company bio, logo, useful links, onsite staff details, and contact details
• Sponsor listing on the conference app
• Acknowledgement of Photo Studio Sponsor on your profile on the conference app
• Promotion of one giveaway offer on the app (offer provided by sponsor)
• Photo Studio location on conference floor plan

Registration

• One (1) conference in-person registration (including access to sessions, exhibition and all social events)
• Opportunity to purchase additional registrations at the exhibitor rate
• Opportunity to purchase a 'group registration' package

How to apply

Please submit your application via our Cvent online application form. There is no payment required at this stage.

Apply to sponsor at AIEC 2025

Once your application is submitted, you will receive an automatic email acknowledging receipt of your application. Please contact us if you do not receive this email within 24 hours.

Your application will be reviewed by the AIEC Organising Committee, and you will be notified via email if your application has been accepted or declined.

Responses may take up to 10 working days, due to the popularity of some of the packages.
