Information for speakers 

If you are a speaker at AIEC this year, please read through the information below. All speakers should be aware of the speaker guidelines and terms and conditions below.

For the purposes of the AIEC program, the term 'speaker' applies to any presenter or co-presenter, facilitator, session chair, panelist or co-panelist, session moderator, session discussant, roundtable rapporteur, pre-conference facilitator or a moderator or video presenter who is participating at AIEC.

 

Speakers’ Preparation Room

The speakers’ preparation room is there to assist you as a speaker/ chair with the setup and running of your presentation. All speakers must report to the speakers’ preparation room on the day of the session, at least 2 hours prior to the start of the session but preferably the day before. 

 

Speaker registration

Speakers must be registered to attend AIEC. All speakers are entitled to the discounted speaker registration fees.  

Session formats

Learning and knowledge-sharing at AIEC is offered through a range of different session formats. These include interactive formats such as cafés and campfires, or more structured and didactic formats such as panels and presentations.

Date and time of your session

Please ensure you remain available on Wednesday and Thursday as changes to the program in the lead up to the conference are possible.

Speaker profile

All speakers must have a speaker profile in the program.

Any changes to your speaker profile must be emailed to aiec@idp.com.

 

Terms and Conditions

All speakers, whether invited or accepted via the Call for Proposals must be aware of, and agree to, the AIEC Terms and Conditions, including the speaker registration feePrivacy Policy, Non-Commercial Policy and Code of Conduct.

If you are not attending the conference, but you are the primary contact for a submitted proposal, please ensure you are also aware of our Terms and Conditions.

Information Session for speakers and chairs

All speakers and chairs will need to attend an info session webinar closer to the conference.

The session will:

  • explain what happens on the day of your session
  • provide tips and guidelines on chairing and presenting
  • provide an opportunity for you to ask any questions

Recording and on-demand videos

A small selection of sessions will be recorded and available on demand after the conference.

The decision about which sessions are recorded will be made by the Program Committee.

Proceedings: PowerPoint presentations

PowerPoint presentations and session recordings will be available after the conference.

If you wish to opt out (i.e. you do not want your presentation to be available for viewing or downloading), please advise the Speakers' Preparation Room staff or contact the conference organisers at aiec@thinkbusinessevents.com.au before the end of the conference.

In this instance, we strongly encourage modified presentations to be provided with removed sensitive or commercial in confidence information.

 

Filming and photography

The AIEC Media Crew will enter session rooms while sessions are in progress and photos and video footage will be taken. The team may also take screen grabs of recorded sessions.

Images and video footage will be used for conference-related communications, post-conference highlight videos and the promotion of future events.
 

Audiovisual

Audiovisual and Wi-Fi will be available at the conference, although the Wi-Fi is not suitable for use by speakers during their presentations.

Technical support will be available in the session rooms and the Speakers' Preparation Room.

All PowerPoint files must be set to a 16:9 ratio. You can use the AIEC PowerPoint presentation template, or you may use your organisation's branded template.

You can send your files in advance via a Jotform link to our technical support team prior to the conference. They will be happy to check your PowerPoint presentation should you have any concerns or queries. Please note that all files will be networked via the Speakers' Room.

 

Braindate

We're excited to bring the Braindate experience to our AIEC community.

You do not need to submit a proposal to host or join a Braindate. Anyone registered for AIEC can post a Braindate topic when the Braindate platform is launched prior to the conference.

All speakers are encouraged to create topics and host Braindates.
