Dates and times

The conference starts at 5.30pm on Tuesday 18 October and finishes at 3.30pm on Friday 21 October at the Melbourne Convention and Exhibition Centre (MCEC).

If you have purchased tickets to the optional pre-conference workshops on Tuesday 18 October:

  • workshops 01 to 05 start at 9.00am and conclude at 12.00pm
  • workshops 06 to 10 start at 1.00pm and conclude at 4.00pm
  • lunch is included in the workshop registration fee for all workshop participants

If you have registered for the IEAA International Research Roundtable on Tuesday 18 October:

  • the registration and arrival is at 9.00am and the event concludes at 5.00pm
  • the roundtable will be held at CQUniversity, 120 Spencer Street, Melbourne (see map).

Collecting your name badge on Tuesday 18 October

Upon arrival at MCEC, please collect your name badge and pocket planner from the AIEC Registration Desk. Please take good care of these items as we are not able to replace them if they go missing.

Please ensure you leave enough time to register, as the desk can get very busy during peak times.

For conference delegates

You can collect your name badge at Registration Desk from 1.00pm.

If you are attending a pre-conference workshop

You can collect your name badge at the Registration Desk from 8.00am.

If you are attending the IEAA Roundtable delegates

Registration starts at 9.00am.

Please go straight to the Roundtable venue (CQUniversity). You do not need to pick up your conference name badge before hand.

If you are also attending the conference, you can pick up your name badge AFTER the roundtable, when you arrive at MCEC in the afternoon.

Registration

The Registration Desk is located on the ground level of the Exhibition concourse, outside the AIEC Exhibition Hall.

Registration payments

If you have an amount owing on your registration, you must pay this in full before attending the conference. If you need to make a payment please contact the conference office at aiec@thinkbusinessevents.com.au. If your registration is still unpaid when you arrive at the conference, we will accept payment by credit card or cash. You will have received payment reminders if you have an amount outstanding – please do not disregard these.

Last minute registrations

If you know someone who has not yet registered, it's not too late. Registration will remain open online until the conference opens for anyone wanting to attend all or part of AIEC 2016. They can register online and bring a copy of the confirmation email with them to the venue in Melbourne. During the conference you can book and pay at the Registration Desk.

Delegate materials

Pocket planner

You will receive a small-sized pocket planner that fits in your name badge upon arrival and registration. The planner will include a list of all the sessions and activities planned for AIEC, venue and exhibition floor plans, but it will not include details such as speaker information or session abstracts.

Pen and notepad

Pens and notepads are sponsored by BPO/ Object Next. They can be collected from the Registration Desk.

Getting to and around Melbourne

The conference will be held at the Melbourne Convention and Exhibition Centre (MCEC), at 11 Convention Centre Place, South Wharf, Victoria.

Speaker information

Speakers’ Preparation Room

If you are a speaker at the conference and have prepared a PowerPoint or Prezi presentation, or will be using audio and visual equipment for your session, please ensure you visit the Speakers' Preparation Room, located in Room 215 on Level 2, the day prior to your session. At the very latest, you must ensure your presentation is uploaded at least two hours before your session starts.

A technician will be available during the following times to check that your PowerPoint has been correctly received, uploaded and networked:

Please bring your PowerPoint file on a memory stick, CD-ROM or portable hard drive, and ensure you have a backup with you, even if you have already submitted your PowerPoint to the conference organisers via email.

Chairs and moderators

If you are chairing or moderating a session, please view the chair guidelines on the conference website, and ensure you read the speakers bios also available via the X-CD online program, before your session begins. We ask chairs to meet with the speakers outside the session room at least 10 to 15 minutes before their session start time.

Poster presenters

Please ensure your posters are set-up in the Exhibition Hall on Tuesday 18 October, before the Welcome Reception which starts at 7.00pm.

Cloak room

There are limited cloak room facilities at the conference venue. It is recommended that guests leave luggage at their hotel.

Exhibition

The AIEC Exhibition opens Tuesday evening after the Welcome Plenary at 7.00pm and is open all day Wednesday, Thursday and until 1.30pm on Friday. Please take time to visit all the exhibitors and the Poster Zone. The Exhibition also offers great networking spaces, including the Speakers’ Lounge, Business Lounge, Newcomers’ Lounge and the AIEC Hall of Fame. A directory of sponsors and exhibitors is also available on the conference website.

Dress code

Conference dress code: The dress code for delegates is smart casual/business throughout the conference. Don't forget to bring a light jacket with you as the air conditioned session rooms can sometimes get a bit cool.

Conference dinner dress code: We encourage all dinner guests to dress up in black and white.

For ladies, cocktail or evening dress is appropriate: feel free to glam it up with sparkles, silver, sequences or that boa you never get to wear!

For gents, black tie is optional: feel free to dust off your tuxedo, or come in your black suit.

Melbourne weather can be unpredictable, so please make sure you bring a coat, and for those who plan on hitting the dance floor, make sure you bring some comfy dancing shoes.

Social events

Entrance to the Welcome Reception and Happy Hour Drinks is by name badge/wrist band, unless you have purchased additional tickets for your guests. Wrist bands can be collected at the entrance of the venue.

Social events are included in the ’full registration fee’ but you must have RSVP’d to attend.

First-timers’ Networking Function

Date/time: Tuesday 18 October
Time: 4.00pm – 5.00pm 
Location: Melbourne Convention Centre (Plenary Hall 3 Foyer, Ground Level)

If this is your first time attending AIEC, you will get the opportunity to connect with other first-timers and get a head start with your networking objectives. Immediately after the First-timers’ Networking Function, the conference will officially begin with the Welcome Plenary at 5.30pm. This function is included in the full conference registration fee and is available to anyone who is new to AIEC and has never attended the conference before.

Welcome Reception

Date: Tuesday 18 October
Time: Plenary 5.30pm – 7.00pm, followed by reception drinks from 7.00pm to 8.30pm
Location: Exhibition Hall, Ground Level
Guest ticket: $70 per ticket

Happy Hour

Date: Wednesday 19 October
Time: 5.30pm – 7.00pm
Location: The Wharf Hotel (see map)

Conference Dinner

Entry by ticket only.

Dietary requirements

Food will be available separately for delegates who have requested special dietary requirements in their registration. A separate serving station will be available for you to collect your meal. At the Conference Dinner on Thursday, please advise the wait staff of your requirements.

SMS alerts

If you have opted to receive SMS updates when you registered and you have provided a mobile phone number, you will receive important messages during the conference and be notified if there are any major changes to the program. Messages will stop after the conference has concluded. To be added to or excluded from SMS's during the conference, please come to the Registration Desk and let us know your name and mobile number. Program updates will also be available by checking the conference app.
