Pre-arrival information

Dates and times

The conference starts at 5.30pm on Tuesday 10 October and finishes at 2.15pm on Friday 13 October at the Hotel Grand Chancellor Hobart.

If you have registered for a pre-conference workshop on Tuesday 10 October:

  • morning workshops start at 9am and conclude at 1pm
  • afternoon workshops start at 1pm and conclude at 4pm
  • lunch is included in the workshop registration fee for all workshop participants

If you have registered for the masterclass:

  • the masterclass starts at 9am and concludes at 4pm
  • morning tea, lunch and afternoon tea is included

If you have registered for the IEAA International Research Roundtable on Tuesday 10 October:

  • the registration and arrival is at 9am and the event concludes at 4pm
  • the roundtable will be held at The Henry Jones Arts Hotel, Hobart (see map).

Collecting your name badge on Tuesday 10 October

Registration

The Registration Desk is located on the ground level of the Hotel Grand Chancellor.

Registration payments

If you have an amount owing on your registration, you must pay this in full before attending the conference. If you need to make a payment please contact the conference office at aiec@thinkbusinessevents.com.au. If your registration is still unpaid when you arrive at the conference, we will accept payment by credit card or cash. You will have received payment reminders if you have an amount outstanding – please do not disregard these.

Last minute registrations

If you know someone who has not yet registered, it's not too late. Registration will remain open online until the conference opens for anyone wanting to attend all or part of AIEC 2017. They can register online and bring a copy of the confirmation email with them to the venue in Hobart. During the conference you can book and pay at the Registration Desk.

App

The conference app will be available a few weeks before the conference. Registered delegates will be emailed information on how to download the app to their mobile devices.

Program

Pocket planner

You will receive a small-sized pocket planner that fits in your name badge upon arrival and registration. The planner will include a list of all the sessions and activities planned for AIEC, venue and exhibition floor plans, but it will not include details such as speaker information or session abstracts.

Online program

Program details, including full session descriptions and speaker profiles are be available via the X-CD online program (mobile friendly) or the mobile app (see above). Please note updates and program changes will only be updated until Thursday 4 October 2017. After this date, any last minute changes will be made to the program app and announced at the conference.

Speaker information

Speakers' Preparation Room

You are required to check in at the Speakers' Preparation Room as soon as you arrive at the conference.

If you are using a PowerPoint or Prezi, your presentation must be uploaded and networked at least two hours before your session. This will ensure your presentation can be opened and loaded onto the conference computer system and networked appropriately.

Please bring your PowerPoint file on a memory stick, CD-ROM or portable hard drive, and ensure you have a backup with you, even if you have already submitted your PowerPoint to the conference organisers via email.

A technician will be available during the following times to check that your PowerPoint has been correctly received, uploaded and networked:

Dress code

Conference dress code: The dress code for delegates is smart casual/business throughout the conference. Don't forget to bring a light jacket with you as the air-conditioned session rooms can sometimes get a bit cool.

Hobart weather: 

During the day, light clothing is enough. However, the temperature can drop in the evenings so bring a light jacket so you can stay comfortable.

During October, daytime temperatures average 17°C (62.6°F) with an average low overnight of 7°C (44.6°F).

Visitors to Tasmania should be prepared for sudden, temporary deterioration in the weather, especially if you have planned to spend time outdoors. Always carry additional warm clothing, including a waterproof outer layer.

Cloak room

There are limited cloak room facilities at the conference venue. It is recommended that guests leave luggage at their hotel.

Dietary requirements

Food will be available separately for delegates who have requested special dietary requirements in their registration. A separate serving station will be available for you to collect your meal. At the Conference Dinner on Thursday, please advise the wait staff of your requirements.

SMS alerts

If you have opted to receive SMS updates when you registered and you have provided a mobile phone number, you will receive important messages during the conference and be notified if there are any major changes to the program. Messages will stop after the conference has concluded. To be added to or excluded from SMS's during the conference, please come to the Registration Desk and let us know your name and mobile number. Program updates will also be available by checking the conference app.

Exhibition

The AIEC Exhibition opens Tuesday evening after the Welcome Plenary at 7.00pm and is open all day Wednesday, Thursday and until 2.15pm on Friday. Please take time to visit all the exhibitors and the Poster Lounge.
